The Phone Call Nobody Wants

At 9:17 on a perfectly ordinary Tuesday morning, the phone rings. The conversation is polite, professional and entirely expected. Yet somehow the effect is remarkably similar to discovering you have left the oven on, forgotten your anniversary and misplaced your car keys all at the same time. The CQC is coming.

Suddenly policies become very interesting documents. Governance meetings from eight months ago acquire new significance. People start asking where the latest risk register is stored. Someone inevitably says, “I’m sure we had a copy of that somewhere.” The funny thing is that inspections rarely uncover completely unknown problems. More often they shine a light on things organisations already knew needed attention. The training update that kept slipping down the priority list, the policy review that never quite happened, or the audit that identified issues but never quite made it onto the improvement plan.

Most organisations do not struggle because they do not care. They struggle because operational pressures are relentless. Today’s problem nearly always feels more urgent than tomorrow’s inspection. The difficulty is that tomorrow eventually arrives. The organisations that perform best under inspection tend not to be the ones that worked hardest in the three weeks before the visit. They are usually the ones that made preparedness part of everyday business. Good governance is rarely exciting, and neither is document control, but both become remarkably important when somebody external wants evidence that systems are working.

Perhaps the real lesson is that inspection readiness is not a project. It is a habit, and habits are much easier to build before the phone rings.
